The quickest way to use AI to schedule meetings is to let the assistant inside your email do it: in Gmail, click Help me schedule while you write a reply, and in new Outlook, ask Copilot in chat to "schedule a 30 minute meeting with" the people you need. Both read the calendars they can see, suggest open slots and turn the chosen slot into an invite. If you schedule a lot with people outside your company, a scheduling tool with AI on top (Calendly's Callie assistant or Reclaim's priority aware Scheduling Links) does the same job without anyone needing your email app.

Which one fits depends on what you already pay for. Below are the steps for each route, what the AI actually checks, and a reply template for any chatbot. Every step and limit below was checked on October 28, 2026 against Google's Gmail Help, Microsoft Support, Calendly Help and Reclaim's help center and pricing page. Menus change often, so if a label differs on your screen, search the vendor's help center for the feature name.

If you only remember one rule: the AI can only find a free slot in calendars it can read. Your own calendar is always visible to it. Colleagues' calendars are visible only when your organization shares free and busy times. Someone outside your company is never visible, so for them the AI proposes times and they pick.

How to use AI to schedule meetings in Gmail

Gmail's version is called Help me schedule. Google introduced it in October 2025 for meetings between two people and, in a Workspace Updates post dated March 12, 2026, expanded it to group meetings with multiple guests. The steps below follow Google's Help me schedule help page.

  1. On your computer, open Gmail and create or reply to an email with one or more recipients.
  2. At the bottom of the message, click Help me schedule. If you don't see it, look under More options. Gemini also shows the button on its own when it detects you are trying to set up a time.
  3. Review the suggested times. Google's help page says Gemini proposes 4 slots by default.
  4. Click Send.

When the other person opens your email, they pick a slot and click Book time for all guests. Google Calendar then creates the event and sends an invitation to everyone, including people outside your organization.

You can adjust the suggestions before sending. Hover over Edit in Calendar on the suggestion card to change the meeting length or the date range, switch the card to plain text, or insert a booking page from your appointment schedule instead. In the "Share your availability" window, green slots mean every guest is free and amber slots mean at least one guest has a conflict, so check those against the calendar grid before you click Propose times.

Limits to know, from Google's help pages:

  • A single schedule can include at most 20 guests.
  • If you change the recipients after inserting the card, the guest list on the card does not update. Insert it again.
  • Gemini only checks the calendars of colleagues you already have visibility into, plus your own.
  • Availability is narrower than for other Gemini features. Google's feature table lists Help me schedule for eligible Google Workspace plans, in English, in the US, on the web only. The March 2026 group update names Business Standard and Plus, Enterprise Starter, Standard and Plus, Frontline Plus and the Google AI Pro for Education addon. The help article itself mentions Google AI plans too, so if you pay for one on a personal account, check for the button; the feature table does not list it for personal accounts.

How to schedule a meeting with Copilot in Outlook

Outlook has two scheduling helpers with different license needs.

Chat assisted scheduling

  1. In Outlook, select the Copilot button to the right of the ribbon.
  2. Type a request such as "Schedule a 30 minute Teams meeting with Barbara about the Q1 sales report."
  3. Copilot checks the attendees' calendars and recommends a time that works for everyone. Review it and send. (Source: Microsoft's Schedule a meeting using Copilot page.)

Microsoft's Copilot in Outlook FAQ says chat scheduling handles meetings with up to two other people, and can also add events such as focus time to your own calendar. Chat in Outlook needs a work or school account, and the FAQ lists new Outlook for Windows and Outlook on the web. Microsoft's chat page lists "Schedule a meeting with my manager" among prompts that work even without a Microsoft Copilot addon license, so try it before assuming you can't.

Schedule with Copilot from an email thread

This one turns a long email thread into a ready invite.

  1. Open the conversation in new Outlook.
  2. Select Schedule with Copilot in the toolbar (or go to More options, then Other reply actions). If it's missing, add it through customized actions.
  3. Copilot fills in a title and agenda, adds everyone on the thread as attendees and attaches the thread. Select Insert (on mobile, Keep it).
  4. Edit anything you want and select Send.

Microsoft's agenda and invite page says this feature needs a Microsoft Copilot (Work) license. If the thread says little about next steps, or is classified as confidential, the invite keeps the email's subject but no generated agenda. Copilot features in Outlook also don't work on signed or encrypted email.

Already have an invite open? Scroll to the description, select the Copilot button (or press Alt+i) and choose Auto draft an agenda. After the meeting, our guide on how to transcribe a meeting with Copilot covers the recap side, and the Microsoft 365 Copilot page lists related tools.

Let Calendly's Callie handle the back and forth

Calendly is the classic scheduling link, and its AI assistant, Callie, works by email. You add callie@calendly.com to any email thread and tell it what you need in plain words, for example "Callie, find 45 minutes with Priya next week, afternoons her time."

According to Calendly's Callie overview, Callie can find open times from your calendar, suggest options, use a specific event type, show times in a chosen time zone, stay within a date range you set and send the meeting details to everyone. Two safeguards matter: Callie won't book outside your availability, and you approve every change before it happens. Inside Calendly, Ask Callie answers questions such as when your next meeting is or what the action items were from your last call with someone.

Calendly's tips: write naturally, include dates when you have a preference, keep the conversation in one thread and keep your availability current.

The catch is the plan. Callie is included on the Standard Plus and Teams Plus plans for English language users. Calendly's free plan still gives you one event type, one calendar connection and one on one scheduling, which is enough to share a single booking link without any AI. Check Calendly's pricing page for current plan prices.

Reclaim is an AI calendar that rearranges flexible events (focus time, habits, recurring meetings) around your fixed ones. Its Scheduling Links use that knowledge: a link can offer time that is currently held by something less important, and Reclaim moves the lower priority item if someone books it.

To set one up:

  1. Go to Scheduling Links and click +New Link (or use the +Create menu).
  2. Name it, choose organizers, the video option (Google Meet, Zoom or another location), the days and hours people can book, up to 3 meeting lengths, notice time, how far ahead people can book and buffers.
  3. Set the priority. Critical (P1) offers the most availability, Low (P4) offers only empty time.
  4. Click Create, then share the URL, embed it or add it to your booking page.

Reclaim's Scheduling Links overview notes that events not created by Reclaim count as Critical by default, so a high priority link won't offer time over your regular meetings unless you lower their priority yourself. For a single meeting with special settings, use Share & personalize on the link card; Reclaim says that personalized URL expires after 30 days. Team Links find a time when every required teammate is free, and Round Robin Links book the visitor with one available person from a group.

On Reclaim's pricing page (checked October 28, 2026), the free Lite plan includes 1 Scheduling Link, Starter includes 3 at $10 per seat per month billed yearly ($12 monthly), and Business includes unlimited links at $15 per seat per month billed yearly ($18 monthly). The same page lists a Gmail add on for inserting Scheduling Links into email, plus connections for ChatGPT, Claude and Microsoft Copilot. If you are weighing Reclaim against its closest rival, read Motion vs Reclaim.

No AI scheduler? Use any chatbot as a drafting helper

If none of the above is available to you, a general chatbot can still save the typing, as long as you give it the facts. It can't see your calendar unless you connect one, so paste your free times in yourself:

I need to propose 3 times for a 30 minute call with a client in London.
I am in New York. My free times next week: Tue 9 to 11 AM, Wed 1 to 3 PM, Thu 10 AM to noon.
Write a short, friendly reply offering 3 options in both time zones,
and ask them to reply with one choice.

Check the converted times against a world clock before you send, especially near daylight saving changes.

How to use AI for meetings once they're booked

Scheduling is only the first step. Once the meeting exists, the useful AI jobs are an agenda (Copilot's agenda drafting above, or Reclaim's agenda feature) and notes. For notes, AI note takers such as Otter and Read AI join the call, while Google AI Edge Foresight and Tana take a different approach to capturing what was said. Our best AI note taker for meetings guide compares them, and the AI note taker for Google Meet guide covers Gemini's built in notes. To plan your own week rather than meetings with others, see the best AI calendar planner picks, or Notion's AI calendar if you live in Notion.

Mistakes that make AI scheduling fail

  • Stale calendars. Personal appointments kept in a second calendar won't block time unless that calendar is connected. Calendly and Reclaim both let you connect more than one; check what your plan allows.
  • Hidden colleagues. If your company doesn't share free and busy information, Gmail and Outlook will suggest times that look open but aren't. Confirm with the key person.
  • Changing the guest list late. In Gmail the suggestion card keeps the old guest list; insert it again.

FAQ

Can AI schedule meetings for me automatically?

Partly. Gmail and Outlook suggest times and create the invite once you or the other person confirm. Calendly's Callie handles the email back and forth but needs your approval for every change. Reclaim can move your own flexible events to make room when someone books a link.

Is there a free AI meeting scheduler?

Reclaim's free Lite plan includes one Scheduling Link with its priority features. Calendly's free plan has one event type and one calendar connection, but its Callie assistant needs Standard Plus or Teams Plus. Gmail's Help me schedule needs an eligible paid Workspace plan.

Why don't I see Help me schedule in Gmail?

Check three things: you are on Gmail on a computer, your account is on an eligible Google Workspace plan (Google's table lists English and the US), and you looked under More options at the bottom of the message. Google's rollouts can take 15 days or longer to reach every domain.

Do I need a Copilot license to schedule meetings in Outlook?

For Schedule with Copilot from an email thread, Microsoft says yes, a Microsoft Copilot (Work) license. Copilot Chat in Outlook without the addon still accepts simple requests like "Schedule a meeting with my manager," but you need a work or school account.

Can the AI see the other person's calendar?

Only if your organization shares it with you. For people outside your company, the tools propose times from your calendar and the other person picks the slot that suits them.
