Gmail AI Inbox is a separate view in Gmail that pulls your most important todos and topic summaries out of your Primary inbox. To use it, you need a Google AI Plus, Pro or Ultra plan on a personal account, or an eligible paid Google Workspace plan, plus two Gmail smart features switched on; then click AI Inbox in Gmail's left panel (or tap Menu > AI Inbox on your phone). It's US only and English only for now, and still labeled beta.

The reason it's in the news this week: on October 15, 2026, Google announced that AI Inbox is rolling out to paid Google Workspace users, and said there is no admin control for it. So a lot of work accounts are about to see a new item in the sidebar. This guide covers who gets it, how to turn it on and use it, why it may not be showing, and how to hide it. Every step was checked against Google's AI Inbox help page on October 16, 2026.

What Gmail AI Inbox actually does

AI Inbox doesn't replace your normal inbox. It's an extra view, powered by Gemini, that reads incoming mail and turns it into a short briefing with two sections:

  • Suggested todos. High priority items that need action, with the task spelled out in bold, such as a bill due date or a reply someone is waiting for. Each to do has buttons like View or Reply, a link to the source email, and a Mark done button.
  • Topics to catch up on. Short summaries of updates scattered across several threads, like an upcoming trip, a restaurant booking, a purchase, or at work, the latest decisions on a project.

Google's January announcement, Gmail is entering the Gemini era, described AI Inbox as a personalized briefing that works out your VIPs from signals like who you email often, who's in your contacts and relationships it can infer from message content. In May, Google's Workspace update post added three things: personalized draft replies for emails that need a quick answer, links to relevant Google Docs, Sheets and Slides shown next to a to do, and one click controls to mark tasks done, dismiss bad suggestions or mark a whole topic as read. Outlook is moving the other way: Microsoft is retiring its own AI sorting feature, Copilot Prioritize, from October 26, 2026.

There are also hard limits, per Google's help page:

  • It only looks at your Primary tab, not Social or Promotions.
  • It skips spam and anything you've archived, deleted, muted or snoozed.
  • It doesn't support attachments, delegated inboxes or encrypted email.

That last list matters. If you live in a shared support inbox or rely on encrypted mail, AI Inbox won't see much of your work.

Who gets Gmail AI Inbox, and the rollout dates

AI Inbox started with trusted testers in January 2026, then reached Google AI Ultra subscribers. On May 19, 2026, Google said it was rolling out to Google AI Plus and Pro subscribers in the US. The October 15 post brings it to paid Workspace plans.

Account typeEligible plansStatus (October 2026)
Personal Google accountGoogle AI Plus, Pro or UltraAvailable in the US, English
Work accountBusiness Standard and Plus; Enterprise Starter, Standard and Plus; Frontline PlusRolling out from October 12 (Rapid Release) and October 26 (Scheduled Release)
School accountGoogle AI Pro for EducationListed in the October rollout
Starter and Education editionsStarter plans and Education editions"Coming months," per Google

In words: on a personal account you need one of the three paid Google AI plans. On a work account, Google lists the Business, Enterprise and Frontline Plus editions, plus Google AI Pro for Education. Each Workspace rollout is gradual and can take up to 15 days to become visible: Rapid Release domains started on October 12, 2026, and Scheduled Release domains start on October 26, 2026.

One wrinkle: Google's post lists Business Starter among the eligible editions, but the same post ends with a note that AI Inbox will reach Starter and Education editions "in the coming months." If you're on a Starter plan, expect to wait.

A free personal Gmail account doesn't get AI Inbox. Free users do get some Gemini features, like thread summaries and Help Me Write, which we cover in our best AI email assistant guide.

How to turn on Gmail AI Inbox

AI Inbox has one extra requirement on top of the right plan: both of these Gmail settings must be on.

  • Smart features in Google Workspace
  • Smart features in other Google products

If you previously turned these off, AI Inbox won't appear. Our guide on how to turn off Gemini in Gmail shows exactly where these switches live on desktop, iPhone and Android, so you can use it in reverse to turn them back on.

On a computer

  1. Open Gmail in your browser.
  2. Click Settings (the gear icon), then See all settings.
  3. Open the Inbox tab.
  4. Check the box next to Show AI Inbox, then save.
  5. Click AI Inbox in the left panel. Click Refresh at the top to load the latest items.

On iPhone, iPad or Android

  1. Open the Gmail app.
  2. Tap Menu at the top left, then AI Inbox.
  3. Pull down from the top of the screen to refresh.

Be patient the first time. Google says smart features can take a few hours to switch on, and it may take up to 7 days for your first set of todos and topics to appear. AI Inbox can also look empty if you haven't sent or received email recently.

How to use AI Inbox day to day

Treat AI Inbox as a morning triage list, not a to do app. Here's a routine that works with what the feature actually offers.

Start with Suggested todos. Read the bold line first; it tells you what Gmail thinks you need to do. If it's right, use the action button. Reply opens a response, and on plans with the May update you may see a suggested draft. Always read and edit a draft before you send it. Then click Mark done so the list stays short.

Remove bad suggestions. Open More options (the three dots) next to an item and choose Remove to do, or give it a thumbs down with negative feedback. There's also Report abuse for anything unsafe.

Skim Topics to catch up on. Use the link on each topic to jump to the source email or chat when the summary isn't enough. On the web, Mark all as read clears the topic, and it also marks those emails read in your regular inbox, so only use it when you're sure.

Check what's hidden. Google says some todos and topics may be generated but not shown. To see everything, click View all at the bottom of AI Inbox in a web browser.

Know when to go back to the real inbox. Anything in Promotions, Social, a delegated mailbox or an encrypted message won't show up. Neither will details that only live in an attachment. A summary can also miss nuance, so open the original email before you act on money, dates or commitments.

Gmail AI Inbox not showing? Check these

If you can't find AI Inbox, work down this list:

  1. Location and language. It's only available in the US and in English. Workspace users need their language set to English (US).
  2. Plan. Personal accounts need Google AI Plus, Pro or Ultra. Work and school accounts need one of the editions listed above.
  3. Rollout timing. Workspace rollouts can take up to 15 days. If your organization is on Scheduled Release, it doesn't even start until October 26, 2026.
  4. Smart features. Both "Smart features in Google Workspace" and "Smart features in other Google products" must be on.
  5. The desktop checkbox. On the web, make sure Show AI Inbox is checked in Settings > See all settings > Inbox.
  6. Wait time. Allow a few hours after turning on smart features, and up to 7 days for the first items.
  7. Right account. If items look stale, Google suggests checking your connection and making sure you're signed in to the correct Google account.

How to turn off Gmail AI Inbox

Google's October post says there is no admin control for AI Inbox in Workspace, which is why the "turn off" question is suddenly popular. You can still hide it yourself.

To hide it on the web: go to Settings > See all settings > Inbox and uncheck Show AI Inbox. That removes it from the left panel without changing your other AI features.

To stop it entirely: AI Inbox requires both smart features settings listed above, so switching one off means your account no longer meets the requirement. The tradeoff is that you also lose other features those switches control. Our turn off Gemini in Gmail guide explains what each switch removes before you flip it. On a work account, those settings may be managed by your IT team.

Google's help page doesn't list a separate hide switch in the mobile apps. If you only want it gone from your phone menu, it's simplest to leave it alone; it doesn't change your regular inbox.

Gmail Live: the other new inbox feature this week

AI Inbox isn't the only Gemini feature landing in Gmail right now. On October 15, Google also announced that Gmail Live is rolling out to paid Workspace users on Android and iOS. Gmail Live is voice search for your inbox: tap Live in the Gmail search bar, ask a question out loud, and hear an answer with a source card showing which email it came from. Google's post lists Google AI Plus, Pro and Ultra among the eligible plans, and it's also US only and English only for now.

The difference is simple. AI Inbox pushes a briefing to you. Gmail Live answers a specific question when you ask.

AI Inbox vs other AI email tools

AI Inbox is a solid free extra if you already pay for Google AI or Workspace. It's not a full AI email client. Consider an alternative if:

  • You want speed and triage across everything. Superhuman and Shortwave work on your whole inbox, not just the Primary tab.
  • You want drafts written for you automatically. Fyxer labels mail and drafts replies in Gmail and Outlook.
  • You use more than Gmail. SaneBox filters mail from any provider, and Spark is a cross platform client.

For side by side pricing and features, see our best AI email assistant guide. If you're weighing Grammarly's agent bundle instead, our Superhuman Go how to covers its Email Assistant.

If you'd like AI help across every tab and not only your inbox, see our guide to the best AI browsers.
